# Customer Follow-Up

> A structured way to continue promising conversations without becoming repetitive or pushy.

**Key takeaway:** Every follow-up needs a useful reason, one owner, and a point where it stops.

**Use it when:** Use this when interested customers go quiet and your team needs to decide who contacts them, why, and when.

**Steps:** Note what's open → Check you can message → Plan a useful follow-up → Recheck, then send → Close or hand off

Customer follow-up is a simple, controlled way to restart an unfinished chat when another message would actually help. A reminder to “chase leads” isn't enough. Your team needs to know what's still open, whether you're allowed to message, who owns it, and what would end it.

Silence doesn't mean they want to buy, and it doesn't mean the price was too high. Read [why customers stop replying after the price](https://systemsbureau.com/blog/why-customers-stop-replying-after-price/) before you guess.

Keep sales follow-up separate from order support. Someone waiting for a replacement needs an update on the replacement, not a sales message. Someone who already bought should leave the queue, even if an old reminder is still scheduled.

## The rules

- Every follow-up has a useful reason
- Every chat has one owner
- Every follow-up plan has a point where it stops

## Meet Sara. She asked one question, then went quiet.

Sara wants an oak dining chair but isn't sure it fits through her doorway. The shop promises to check the packed size. Then nothing. Here's how the system handles it, step by step.

_Illustrative example, not a customer result._

### Stage 1: Note what's still open

_Monday · when the chat goes quiet_

Write down why the chat is unfinished: the open question, the product, what you promised, and one person who owns it. If you can't name a reason, there's nothing to follow up. Save only what you need, and keep the sheet private to your team.

**Rule:** No reason = no follow-up

**Follow-up sheet:**

| Customer | Open question | Owner | Status |
| --- | --- | --- | --- |
| Sara · Oak chair | Fits my doorway? | Mina | Needs review |
| Imran · Sofa cover | Colour photo | Rafi | Waiting on us |
| Omar · Chair | None | Mina | Closed, bought |

### Stage 2: Check you're allowed to message

_Tuesday · before planning anything_

One question doesn't mean she agreed to hear from you forever. Check she hasn't said stop, and that the platform's messaging rules allow it right now. Not sure? Hold it for review.

**Rule:** Never switch apps to get around a limit

**Permission check:**

- Yes: Sara asked us to send the size
- Yes: She hasn't said stop or no
- Yes: Inside the platform's messaging window
- Watch out: She didn't ask for offers, so no promo

### Stage 3: Plan a follow-up worth reading

_Wednesday · writing the message_

Bring her the thing she asked for. “Just checking in” gives her nothing to reply to. Pick a review day based on the chat, not a fixed schedule, and decide now when this ends.

**Rule:** A due date means review, not auto-send

**Draft:**

> **Instead of:** Hi Sara, just checking if you're still interested? 😊
>
> **Business:** Hi Sara, I checked the packed size: 52 × 48 × 90 cm. Want the spec sheet so you can measure your doorway and the turn into the room?

### Stage 4: Recheck the chat, then send

_Thursday · 30 seconds before sending_

Open the thread first. Did she reply, buy or complain? Did a teammate already message her? Is the size still correct? If anything changed, don't send. Update the sheet instead.

**Rule:** Changed? Don't send

**Before sending:**

- Yes: No new reply from Sara
- Yes: No order placed
- Yes: No teammate messaged her
- Yes: Size confirmed by the supplier today

### Stage 5: Close it or hand it off

_After she replies, or doesn't_

Every chat ends with a written decision, so nobody messages her twice. One useful follow-up and one final check at most. Then close it.

**Rule:** Write it down, every time

**Possible endings:**

- **She buys:** Out of the sales queue
- **She has a problem:** Hand to support
- **She replies:** Back to selling
- **Still quiet:** One final check, then close
- **She says no:** Close and note it
- **Chose another:** Thank her, close

## What your follow-up queue looks like

A spreadsheet or your inbox labels are enough. No new software needed.

- **Needs review:** Sara · Dining chair (Fits doorway?); Imran · Sofa cover (Wants a colour photo)
- **Waiting on us:** Lina · Bookshelf (Asked supplier for stock date)
- **Ready to send:** Dev · Desk (Assembly guide promised)
- **Waiting on customer:** Nadia · Lamp set (Sent sizes, final check Mon)
- **Closed:** Omar · Chair (Bought); Ria · Rug (Chose another option)

## Stop following up when…

These end the sales follow-up straight away. No “one last try”.

- **They say no or stop:** Close it and note it.
- **They bought:** Remove them, even if a reminder is scheduled.
- **They chose another option:** Thank them and close.
- **They seem annoyed:** Short replies or no replies are an answer.
- **They have a problem:** Hand to support. Never upsell a complaint.
- **The plan is done:** One useful follow-up, one final check. Done.

## Template: Start your follow-up sheet in two minutes.

Copy these columns into Google Sheets. A spreadsheet is all you need.

**Columns:** Customer, Chat link, Product, Open question, We promised, Owner, Review on, Status, Ends when

**Status options:** Needs review, Waiting on us, Ready to send, Waiting on customer, Closed
